Hermitage Avenue Chicago IL 60613 ________________________________________________________________________ ____ POSITION DESCRIPTION Office Manager/ Administrative Assistant REPORTS TO: Executive Director The Coalition of African, Arab, Asian, European and Latino Immigrants of Illinois (CAAELII) is a 22-member collaboration which seeks to improve the lives of immigrants and refugees and to ensure their dignity and respect by uniting communities through education, leadership development, organizing and direct services. CAAAELII is presently seeking an Office Manager/Administrative Assistant to assist with administrative and office operations. Primary Responsibilities 1. Responsible for maintenance, upkeep and scheduling for meetings and programming 2. Answer phone, facilitate incoming fax and mail 3. Monitor and manage Executive Director’s emails, messages and correspondence 4. Follow up calls and emails with partner agencies and other organizations 5. Maintain and order adequate office supplies and other resources within budget 6. Assist in all fundraising and special events as needed 7. Manage timely submission of timesheets, payroll and other paperwork as needed. 8. Monitor general program expenses and submit vouchers and reports as needed 9. Perform administrative and other duties assigned by the Executive Director Qualifications 1. High school degree required, bachelor’s degree or equivalent desired. 2. Knowledge and/ or experience in administrative duties 3. Detailed oriented and organized 4. Able to do multiple tasks at the same time 5. People oriented and be able to assist people 6. Job Functions: Serve as a lead teacher to model collaborative teaching and learning methods for CAAELII partner organization where lead teacher is placed to teach English and Civics in a historical context. The lead teacher is a leadership positions that will serve as a resource person for the agency to look at ways that teaching in the classroom is relevant to people’s concerned by providing organizing opportunities and documenting the process and students experience for public policy. Duties and Responsibilities: Develop lesson plans that are linguistically and culturally appropriate to specific CAAELII partner organization. Active participant in teacher resource team, to make appropriate changes to the curriculum, develop lesson plans for individual classes and organizations. Facilitate collaborative learning methodology in the classroom and look for possibilities to assist other CAAELII teachers. Serve as a resource to other teachers in documenting, analyzing and proposing ways to better transmit content to English language learners. Work in collaboration with organizing apprentice to better understand the concerns and needs of students and policy director. Keep accurate attendance and updated records of students. Meet on a regular bases with CAAELII trainer individually and at least twice a month in group with other 5 lead teachers. Qualifications and Requirements: Preferred BA in Adult Education, Education or related files in social science and/or humanities. Bilingual (Spanish/English, Cambodian/English, Korean/English, Arabic/English) Minimum of 3 years of classroom experience. Works well with others in collaborative efforts. Provide leadership and direction for the Adult Education department in collaboration with the Development and Community Organizing departments. Duties and Responsibilities: - Manage and oversee reporting of Adult Education grants, which include 5 government grants totaling a nearly one million dollar budget. - Prepare/Submit program and financial reports as required for Adult Education funding. - Oversee the EL/Civics program collaboration of 18 partner agencies. Maintain reporting and grant requirements. - Chair and facilitate dialogue at monthly meetings with partner agency coordinators who receive funding from CAAAELII. Facilitate sharing of educational materials, resources, joint project activities, upcoming events, etc. - Monitor the fulfillment of grant requirements amongst the partner agencies by conducting agency visits and classroom observations. - Supervise Adult Education staff which includes, ICCB Civics Coordinator, Technology Coordinator, Professional Development Specialist, Database Trainer, 5 AmeriCorps Members - Hold departmental and supervisory meetings with staff. Participate in CAAAELII Leadership meetings and interdepartmental meetings. - Plan recognition and educational events with partner agencies such as, Coordinator Luncheon, Coordinator Retreat and Citizenship Day Celebration. - Attend and represent CAAAELII at meetings, conferences and committees related to Adult Education - Other duties as assigned Qualifications: - Bachelor’s degree in Education or related field - 2-3 yrs. experience in program management and in managing government grants with a non-profit org. - 2-3 yrs. experience in developing program/departmental budgets - 2-3 yrs. supervisory experience - Strong administrative/record-keeping skills and communication skills - Experience teaching or working with Chicago’s immigrant communities - Commitment to social justice and immigrant rights - Reliable transportation needed Salary is $30,000 - $35,000 depending on experience. Preferred: Previous experience managing, scheduling and training volunteers in a community based nonprofit setting.
